Selecting the right chair covers for your event

Chair covers can bring a room together, but the fit matters more than the product photograph. Learn how to identify your chair shape, measure it, test a sample and coordinate covers with linens and sashes before you choose quantities for your event.

Decide what the cover needs to achieve

Chair covers can make a mixed room feel more coordinated, introduce a softer finish or connect existing venue chairs to your table colours. They are most useful when you know the problem you are trying to solve. If you love the look of the rental chair itself, covering it may add cost and setup time without improving the result. If the venue chairs are a strong colour that conflicts with your palette, a well-fitted cover may be a worthwhile part of the design.

Start by comparing two approaches: renting the chair you want, or dressing the chairs already available. Include covers, optional sashes, setup labour and removal time in that comparison. A bare decorative chair and a covered banquet chair create different silhouettes. Neither is automatically better; the right choice depends on the room, the meal and the atmosphere you want. Look at the full table arrangement rather than judging one chair in isolation.

Covers are decorative. They do not repair an unstable chair, make an indoor-only product suitable outdoors or change a chair’s permitted use. If a venue chair is damaged, ask for it to be replaced before adding any fabric. Your first decision should always be whether the underlying seating is appropriate and comfortable for the event. After that, the cover can do its visual job.

Identify the chair family and back shape

Take photographs of the chair from the front, side and back. Include the seat and legs, not only the top of the backrest. Banquet chairs, folding chairs and Chiavari-style chairs have different profiles. Even within one family, a rounded back, square back or crown-shaped top can change the fit. The product name in a linen catalogue is a useful clue, but it is not proof that a cover fits your particular venue model.

Cody’s range includes Chair Cover Banquet White - Polyester, square banquet or Chiavari-style covers, folding covers and universal styles. Those are separate choices for a reason. A cover designed for a broad upholstered banquet seat may hang loosely on a narrow folding chair. A cover intended for a square back may pull awkwardly over a curved or unusually tall back. A neat photograph of a covered chair can hide those differences, so always identify what is underneath.

Ask the venue for the manufacturer and model if available, and confirm that all chairs assigned to your event are the same. A room might contain matching-looking chairs from different purchases. If you need fifty covers but ten chairs have a different shape, discovering that before the order is far easier than during setup. Record the model or attach photographs to your request.

Take useful measurements

Measure the overall chair height, the height and width of the backrest, the width and depth of the seat, and the height from the floor to the seat. Note whether the back widens toward the top, whether the seat is padded and whether the legs angle outward. These observations help the rental team narrow the options. Do not rely solely on the height of the chair; two chairs with the same overall height can have very different proportions.

For a folding chair, show how the back joins the seat and how the rear legs extend. For an upholstered banquet chair, show the thickness of the seat and the shape of the upper back. If the cover uses leg pockets or stretches tightly, the leg arrangement matters as well. Keep the chair open and ready for use while measuring. A folded chair’s dimensions are useful for transport, but they do not tell you whether a cover will fit.

Write the measurements next to the photos and use one unit consistently. Inches are convenient when the catalogue uses inches elsewhere, but centimetres are fine if clearly labelled. These measurements are a screening tool, not a replacement for a sample fitting. Fabric construction and the placement of seams can still make a cover fit differently than the dimensions suggest.

Test the fit before choosing the full quantity

Cody’s linen questions page recommends testing a chair cover on the intended chair before making a reservation. Treat that as an important planning step, especially when the venue supplies the chairs. Ask how a sample fitting can be arranged and take the exact chair model if the venue permits. If you cannot bring a chair, provide clear photographs and measurements, then ask what level of fit confirmation is possible before committing.

During the test, view the chair from several directions. The cover should sit as intended without excessive strain at the seams, an awkwardly exposed back or fabric trailing into walking space. Sit down carefully and stand up again. Check that the cover remains in place and that the chair can be moved normally. If using a sash, test it at the same time so you see the complete arrangement rather than assuming the bow will hide a poor fit.

For a square-backed option, consider Chair Cover Square Banquet / Chivari White - Polyester only after confirming the chair it will cover. For a folding style, Chair Cover Folding Flat White - Polyester is another distinct product to assess. Do not solve a fit problem with scissors, adhesive or improvised fastening. If the sample is wrong, change the cover style or consider a different rental chair. A small design adjustment early is much easier than dressing an entire room with the wrong covers.

Understand fitted, universal and stretch options

A fitted cover is cut for a particular type of chair. When the shape is right, the seams and skirt can create a tidy, consistent result. The limitation is that a cover designed around one profile may not accommodate another. A universal style allows a different kind of drape or gathering, but the word universal should not be read as a guarantee that it suits every chair ever made. The finish still depends on the dimensions and shape underneath.

The Chair Cover Universal White - Polyester is worth discussing if a draped style appeals to you. Compare the look with a fitted cover on the actual chair. Consider how the extra fabric is arranged and how it looks from the back, since that is the view guests often see as they enter a room. Ask whether the style needs a particular tying method or accessory; do not assume accessories are included.

Stretch covers create another silhouette. Cody lists options such as Chair Cover Spandex White-Indoor use ONLY with an indoor-use restriction in the product name. Respect that restriction rather than assuming stretchy fabric is suitable for grass or a patio. Check the exact product, chair compatibility and setup instructions. Stretching a cover over an unsuitable shape can distort the fabric or put stress on seams. Choose the construction for its fit and permitted use, not simply because it looks modern.

Compare fabrics with your table linens

The fabric finish can change the room as much as the colour. A less reflective surface often reads as understated, while satin can catch more light and create a dressier appearance. Textured fabrics introduce another layer of detail. Product photographs can help you shortlist options, but the effect is easier to judge beside the tablecloth, napkin and centrepiece you intend to use. Look at the arrangement under lighting similar to the venue’s.

You do not need every fabric to match exactly. A simple tablecloth with a more decorative chair sash can work well, and a textured tablecloth may benefit from a quieter chair cover. Choose one or two focal elements so the whole room does not compete for attention. Think about the backs of the chairs as a repeated pattern: a detail that looks subtle on one chair becomes much more noticeable across eighty chairs.

If your palette includes white, ivory or champagne, compare physical samples where possible. Similar names can describe different tones across fabric types. Cody’s published linen information also notes that rental fabric shades may vary between pieces. Tell the team if close colour matching is central to your plan. A clear conversation about the overall effect is more useful than expecting a screen image to provide an exact colour standard.

Use sashes deliberately

A sash can add colour, define the back of a chair or echo the napkins on the table. Start with the cover colour and decide whether the sash should blend in or contrast. A strong accent on every chair creates a much bigger visual statement than the same colour on a few napkins. If the room is small or already richly decorated, a simpler treatment may feel more balanced.

Cody lists satin, organza and other sash styles. For example, Chair Sash Navy Blue - Satin introduces navy in a satin finish. Compare the material and colour with the chosen cover rather than ordering by colour name alone. A sheer sash will not look the same as an opaque sash in a similar shade. Test the knot or bow on the actual chair to see its height, width and how much fabric hangs below it.

Count sashes separately from covers. If you are dressing only the head table or ceremony aisle chairs, the sash quantity may be smaller than the cover quantity. Write that distinction into the setup plan. Allow time for tying and for a final visual check; bows can look inconsistent when several volunteers use different methods. Choose one sample as the reference, and keep any loose ends out of routes and away from chair mechanisms.

Plan setup time and responsibilities

Chair dressing is a task, not an automatic part of renting the fabric. Confirm who will install the covers, who will tie the sashes and who will remove everything afterward. If you are relying on family or volunteers, make sure the venue access period is long enough. Do a timed trial on a few chairs, then use that experience to estimate the work for the room. Build in time to correct a fit, sort sizes and collect packaging.

Set the chairs in roughly their final positions before dressing them, but leave enough working room. Keep covers sorted by style and colour so similar items are not mixed. If different chair types are assigned to different areas, label the groups clearly. A small sample photograph in the setup instructions is useful, especially if the final bow or drape matters to the design.

Consider the event schedule. Ceremony chairs that will later move to dining tables create another handling task. Fabric may need straightening after the move, and the people moving chairs need to know how to avoid pulling on the cover. If the changeover window is short, separate chairs for each area may be more practical. Compare the labour and timing before assuming that moving one set is always the simpler option.

Count covers and protect them during the event

Use the final chair allocation, not only the invitation count. Include any chairs for the wedding party, speakers, musicians or service providers if those chairs need the same treatment. Decide whether children’s seating or high chairs will remain uncovered; a standard cover should never be forced onto an unrelated seating product. Keep spare chairs and spare covers as separate planning decisions so the request reflects what you actually want.

If you choose extra covers, ask how they will be charged and returned under your order terms. Do not assume unused pieces are automatically free or refundable. Confirm when quantities can be adjusted and what is required to secure availability. The online request should identify the event date, chair type, cover style, colour, sash selection and any unresolved fit questions.

During the event, keep fabric away from food preparation, open flame and damp storage. Do not use a chair cover as a tablecloth, protective sheet or cleaning rag. At the end, remove decorations carefully and check that pins or other permitted fastenings have not been left behind. Follow the return instructions supplied by Cody, particularly for damp or soiled textiles. Sorting covers and sashes as they come off makes the return count easier and reduces the chance of leaving pieces at the venue.

Make the final choice with a full-table sample

Before finalizing a large order, assemble one complete place setting if practical. Use the intended table, cloth, chair, cover, sash, napkin and a representative centrepiece. Stand back and look from the entrance direction. Check whether the chair treatment complements the tabletop or overwhelms it. Then sit at the table and test the practical experience. A polished photograph is useful, but the arrangement must also work for the people using it.

Imagine a dinner with sixty guests at eight tables, with some tables seating fewer people to keep groups together. The cover quantity should follow the actual number of chairs placed, not eight multiplied by an assumed maximum seating number. If a head table uses a different chair style, it may need a different cover or no cover at all. A clear seating chart and chair inventory prevent those assumptions from becoming order mistakes.

Your final request should make the important choices easy to understand: exact chair model, tested cover, fabric and colour, number of covers, number of sashes, and who handles setup. If the sample fitting is still outstanding, say so. The best result comes from choosing a cover that suits the chair and the room, rather than trying to make an attractive product photograph fit a chair it was never designed to cover.

  • Decor to match your theme can be as easy as a few well placed, golden maple leaves on your table for Thanksgiving. Barbies, in different poses, on the table, can easily add an element fun to a Barbie Birthday Party.
  • Attractive food presentation can also be stimulating. Using fresh herbs or fruit to garnish an otherwise plain tray of hors dourves makes it even more intriguing.
  • Color is the easiest way to decorate. Always try to balance your warm and cool colors.

Smell - The most universal favorite smell is apple cinnamon. A great tip is to time the baking of your apple pie, or any dessert, to come out of the oven just before your guest arrive so your home is encompassed by the mouth-watering aroma. Scented candles are another subtle way to enhance the smell senses of your guests. Remember not to place scented candles at the dinner table as it masks the aroma of the food you worked so hard to prepare. Air fresheners are a wonderful way to freshen a favorite room of your pet. Subtlety is the key to smell. Overpowering smells can work against your goal of home comfort.

Hearing - An easy way to create atmosphere is to have music playing. What better way to create Italian Gourmet Night, than to have Dean Martin singing Amoure in the background. Or the Beach Boys singing California Girls at your Beach Party! Another interesting sound is water falling. This is a universally relaxing and soothing accent.

Touch - Choose dishware and cutlery for their structural character. Cut glass has a classic feel. Touch may also be achieved by using various textured fabrics for your table linens, napkins and placemats.

Taste - From a candy dish with mints to the most lavish dinner affairs, taste may be easily introduced. Setting the tone with your menu selections will help to unify your theme.
